Operations and Management

The primary objective of operations management is to ensure the efficient and dependable functioning of all systems, procedures, and processes while maintaining safety and quality standards.

The provision of excellent healthcare services requires the ability to establish and manage effective operations, as well as effectively handle unexpected challenges that are inherent in complex healthcare organisations. As healthcare establishments are inherently risky environments, continuous adaptation, problem-solving, and improvement are crucial for meeting the growing demands for superior service delivery.

To achieve excellence in service delivery, operations management at Apollo Hospitals focuses on identifying and addressing sources of variability. This requires a comprehensive understanding of the nature of work and how it is carried out, which is the key focus of operations management through the study and implementation of operations management principles.

Our scope of services

Finally, the feasibility report addresses the questions around necessary requirements, including devising a strategy for the service provider to position itself as a primary, secondary, or tertiary care provider. Additionally, the report includes the market entry model, proposed clinicians' engagement model, market positioning plan for patient retention, and ramp-up plan and service/speciality mix plan for the proposed facility. Significant consideration is given to establishing a commissioning and ramp-up plan for the proposed facility primarily to ensure the right service/speciality mix for success in the market.

We pride ourselves on our delivery excellence, understanding the challenges faced by our public and private sector clients and their drivers for change. Our pool of procurement professionals and subject matter experts provides support from managing sourcing exercises to transforming the procurement function. The solution is co-designed with clients to ensure significant commercial benefits are delivered and sustainable. Our consultancy services include opportunity assessment reviews, procurement transformation, category planning and strategy development, savings delivery, contract management, and private finance initiative review for our public sector clients.

Opportunity Assessment Review

We take a holistic approach, using both spend analysis and stakeholder engagement to look for opportunities for cashable savings and mechanisms to improve your organisation's procurement capabilities. The procurement functions use our assessments to support their business planning cycle and organisations to support the transformation of their procurement processes. Using our subject matter experts to support the review process, we can look at what the data tells us and use our knowledge of the market and any fluctuations in suppliers. This means our opportunity assessment reviews are grounded in reality rather than creating theoretical wish lists that can't be delivered. We are confident in delivering savings identified within the opportunity assessment reviews and have a range of innovative commercial models to derisk our customers.

Procurement Transformation

We believe procurement functions should be at the strategic heart of organisations, adding value and working to deliver corporate objectives. We also have a strong track record in supporting our clients in developing their procurement functions. We take organisations through an internal assessment of current performance and activity and on to developing operating models explicitly designed to meet individual needs, supported by tools, processes, and category strategies.

Category Planning and Strategy Development

Category management is one of the central pillars of suitable procurement structures. It allows procurement professionals to develop strategies and plans based on an in-depth understanding of particular markets and supply chains. Our category structure provides experts across all areas of spending capable of developing strategic sourcing strategies and longer-term plans of constantly managing spending to be mindful of individual supply chain dynamics aligned to corporate objectives. Our experts support organisations through the entire category planning cycle, from providing up-to-date market insight and supplier intelligence to contract and supplier performance reviews. Our integrated approach to procurement means that our category plans are developed to link to the organisations' capacity to deliver sourcing exercises and overarching procurement strategies.

Savings Delivery

Procurement is critical to delivering cashable savings and continuously driving value from the supply chain. We know that developing and implementing programmes for savings can be challenging. Our savings delivery programmes are focused on quickly unlocking cashable benefits for the whole organisation. We work across spending categories, using our knowledge of the market and supply chain to identify opportunities to reduce demand for services and the cost of third-party suppliers. When developing the savings programme, we consider existing or recent savings activity, agreed contracts, and supplier relationships.

Contract Management

In most organisations, at least 50% – and sometimes up to 80% – of spend is under contract. But all too often, there is little in the way of formal contract management arrangements, and contracts are filed in multiple locations with no central view. There are several risks with such informal arrangements. Up to 75% of the savings achieved by sourcing exercises are estimated to be lost within the first 18 months without robust contract management arrangements, while off-contract spend goes unchallenged. It also leaves the organisation open to risks of service delivery failure and is unable to generate additional value from strong supplier relationships.

Material Management Consulting

A significant amount of materials and consumables must be imported, and a strategy must be formulated to ensure a seamless supply of materials and consumables for continuous medical care. Material management would form an important tool to contain costs and be able to provide services at competitive prices.

Apollo International utilises its group's purchasing capabilities to ensure that the best possible prices are available for the hospital. This is subject to the governing laws in specific countries. As part of the management contract, we will develop procurement policies, develop inventory norms, set consumption standards and par-levels, and identify variance reporting needs. Furthermore, we help establish reporting systems for monitoring prices and usage variances, develop an interface for foreign exchange exposure monitoring, and develop a broad vendor base to ensure that dependencies are not developed. Additionally, we ensure hazardous material management and pharmacy management: storage, distribution, formulary, recall policy, local regulations, and reporting, as may be required.

Medical Equipment Planning and Procurement

The healthcare supply chain estimates that it spends over $20 billion yearly on capital medical and IT equipment from various categories. Unfortunately, their lack of reliable data leads to millions in overspending. Therefore, without reliable, objective figures, a supply chain can be significantly handicapped in tough negotiations.

Through Apollo International's capital guidance, acute-care hospital supply chains are enabled to revamp investments in medical and IT equipment. Reliable insights ascertained will assist hospitals in fulfilling their aims, including maintaining the highest standard of patient care while minimising expenditure.

Facilities Administration

As a reliable source of healthcare technology, Apollo International grants facility administrators the information and assurance they need to invest securely in medical and IT equipment. Additionally, our specialists offer support by assessing current trends, examining prior pricing, and securing maintenance contracts. We assist in decision-making processes by analysing potential proposals, identifying relevant hazards, and keeping track of relevant recalls. Furthermore, we can present case studies to illustrate best practices. Each of these assessments culminates in a professional recommendation, allowing administrators to make informed decisions.

Members possess access to the industry's largest product comparison registry for healthcare capital, medical, and IT equipment. They may view pertinent criteria assigned by the producer, such as cost range, significant features, availability, FDA clearance, and beyond. The connected comparison report contains fundamental facets such as practical operation, noted complications, and acquisition thought processes.

Testing and Assessment

Apollo carries out impartial lab testing of medical apparatus. Our thorough, independent assessments featuring comparative configurations of the most current healthcare solutions equip our members with the knowledge to make sure-footed judgments while planning their medical infrastructure. We probe a wide array of diagnostic and therapeutic instruments such as imaging devices, monitoring systems, infusion equipment, and respiratory equipment — to name a few — and present our findings inclusively and lucidly.

Harness the power of Apollo to investigate product recalls and alerts before obtaining new inventory or assessing existing items. Discover exclusive alerts from our laboratory testing and safeguard patient safety by being aware of potential issues. Moreover, benefit from our Problem Reporting Network, where hospitals can report their issues and learn the root cause due to our investigations.

Installation and Pre-Installation Review

The installation and pre-installation review includes an incoming inspection for performance assurance, inventory of all items and accessories supplied, an electrical safety inspection, tagging, inventory updating, and overall inspection for damages, as well as training for internal in-service/cross-training provided for biomedical staff, coordination for user staff, and biomedical engineers, consultation on equipment safety issues, quality checks and calibration, preventive maintenance schedules and management, and equipment disposal and retirement review and recommendations.

Facility Planning and Design Review

Apollo International's facility planning and design review involves conducting a comprehensive analysis of the physical space and critical infrastructure to identify potential areas of improvement and implement effective design solutions.

Apollo's specialist team plans the departmental facilities required to meet the clinical visioning in consultation with the client.

Apollo International assists the local architect appointed by the client and provides technical input to aid the client in the construction of the hospitals/clinics while also reviewing the concept and schematic plans prepared by the same and suggesting changes where necessary to improve patient flow/ safety and to meet the clinical visioning. All other services to be taken care of by the client, including the local architect and the contractors for the project, are to be appointed by the client at its own cost and terms, and the construction and all regulatory clearances are to be taken care of by the client.

Facility Plan - Clinical Services Planning

Apollo International shall study the service planning requirements, demography, and epidemiology of the patient catchment area and review local circumstances, such as climatic, environmental, social, economic, and occupational factors which could influence the functional content, activity, occupancy levels, and healthcare delivery of the hospital, and plan and incorporate systems and protocols set by the clinical and management teams.

Architectural Brief

Apollo International reviews the site/building layout prepared by the local architect as part of the space program/plan, along with the single-line schematic planning layouts illustrating inter-departmental planning and a staking diagram to identify ideal functional relationships, circulation routes and any necessary future expansions or phasing options. Outlined broad mechanical and engineering specifications will be in line with the planned clinical services, and we will review the medical equipment list to ensure that space planning provides adequate space for its installation, commissioning, and functional use. Lastly, the illustrations will also identify the emergency evacuation plan, supply distribution, and waste effluent routes.
